If using multiple fee schedules in
your clinic, it is recommended that the first Fee Schedule you enter is your
main or default fee schedule. If you
have additional fee schedules, i.e. Medicare, W/C, etc., you can copy the
main/default fee schedule and make the necessary changes. i.e. fees.
This will eliminate errors and saves time.
Each Fee Schedule includes:
Status - Active or
Inactive
CPT Code
CPT Type
CPT Description
Fee
Appointment Required (Yes or No) Note: Vitamins do not require an appointment, as a patient may come in and purchase vitamins over the counter.
Apply to Deductible Note: Vitamins are not usually applied to the deductible
Fee Override Note: CPT Codes should not be overridden. Exceptions would be services that have different fees. i.e. Narrative Reports

Note: A Fee Schedule is assigned to each Patient's Case from the Fee Schedule drop down list.
Click on the Admin Icon
Click on the Fee Schedules button
Fee Schedule: This is the name (description) of the currently displayed fee schedule
Status: View Fee schedules by their status. Active, Inactive, All
Make Inactive: Select the fee schedule to make Inactive from drop down list. Click on the Make Inactive button.
A fee schedule that has been made Inactive, CANNOT be returned to an Active status.
If you accidently make a Fee Schedule Inactive, select the Inactive Fee Schedule from the drop down list and click on Copy Current. Give the Fee Schedule a New Name.
Blank: To start a new fee schedule from scratch, click on the Blank button. Quixote will ask you to name your new fee schedule.
Copy Current: To create a new fee schedule from an existing fee schedule, select the fee schedule to copy from the drop down list. Click the Copy Current button. Give the Fee Schedule a new name. Customize the new fee schedule by adding, editing, and/or removing CPT Codes.

Add CPT: To Add a CPT Code to the Fee schedule, click the Add CPT button
Find the CPT Code to add by searching by code or description
Double click the code and it will appear on the left side
Enter the fee for this code and fee schedule
Select or deselect the options for this CPT Code and fee schedule that are applicable. (You may select all or none)

Fee Override
CPT Type: CPT Type determines which CPT Code prints on the HCFA / CMS form. (See Payors) Select the CPT Type from the drop down list for this CPT Code and Fee Schedule.
Note: If a CPT Code is not assigned a CPT Type in the Fee Schedule, then it WILL ALWAYS be included on the HCFA / CMS form.
Click the Save button.
Note: It is recommended to set up a different code for each nutritional supplement with descriptions: i.e. Calcium 60 capsules, so the patient statement will reflect exactly what they purchased.
To Add a Modifier
Highlight the CPT Code, make sure you have selected the applicable fee schedule, and click the Edit CPT button.
Click the Add button, under Modifiers
The Modifier List will open.
Highlight the Modifer from the Modifier List and click OK.
Repeat steps to add additional Modifiers to this CPT Code and or Fee Schedule.
