Proper Clinic configuration is required before using
Quixote. The Clinic section includes demographic information about the Clinic,
appointment specifications, billing information and Clinic
Hours of Operation.
Click the Admin Icon
Click the Clinics Button
Click the Add button to Add a New Clinic
Highlight a Clinic and Click the Edit button to Edit a Clinic's information
Highlight a Clinic and Click the Delete button to Delete a Clinic
Enter the Name of the Clinic
Enter the Clinic Address
Enter the Clinic City
Enter the Clinic State
Enter the Clinic Zip Code
Enter the Clinic Phone Number
Enter the Clinic Fax Number
Enter the Clinic Email address
Enter
the Clinic Website
Check the box by Deposit Slips to include new Payments automatically. (See ordering Deposit Slips in FAQs)
Enter Sales Tax for your area. When setting up CPT's you will be able to designate which CPT's to apply sales tax to, if applicable.
If you bill from or if insurance payments are sent
to a different location than you treat patients, add the location as a separate
clinic.
Click the Billing Info Tab
Show HCFA settings for: Select from the drop down window, the HCFA / CMS form version for this clinic. Hopefully you are using Version 08/05, as that is the latest version.
Enter the clinic's billing information.
NOTE: The red boxes correlate with the HCFA / CMS form. Click on a red box for additional information.
Click the Schedule Time Interval Tab
Default Time Interval: This is the time increments you would like your
clinic schedule to default to.You may
schedule as many patients as you would like per time unit.
Example:
If you currently schedule patients at 9:00, 9:15, 9:30,
etc., the Default Time Interval would be 15.
If you schedule patients at 9:00, 9:10, 9:20, etc., the
Default Time Interval would be 10.
Reason of Visits:
The length of each Reason of Visit must be a
multiple of the Default Time Interval for this clinic, which was selected
above.
Be sure to click the Save button.
Next Highlight the Clinic and Click the Hours of Operation Tab
Click the Edit Schedule button
Select the day or days to configure the Hours of Operation for the selected clinic.
Click the Edit button
Enter the time the clinic opens (Type of use the drop down arrows)
Enter the time the clinic closes (Type of use the drop down arrows)
If you would like to block out the time the clinic is
closed for lunch, click the Add button.Enter the morning hours in the first to and from time slot, and the
afternoon hours in the second time slot.Repeat this procedure, if applicable.
To remove a previously configured time, highlight and
click Remove.
Note: If the clinic hours are the same, i.e. Monday,
Wednesday and Friday, select all three days and click on Edit to configure the
clinic hours for these days, simultaneously.
Click the Save button.
To Add Exceptions to the Clinic Schedule, click the Other Tab
Click the Add button
Enter a Name (reason) for the exception
If the Clinic is going to be Closed check "Closed"
If the Cllinic is going to be open (these are special hours) check "Open"
Enter the date and time From (when this exception begins)
Enter the date and time To (when this exception ends)
Be sure and click the Save button
Highlight the exception and Click the Edit button to Edit an existing exception to this Clinic's schedule
Highlight the exception and Click the Delete button to Delete an existing exception to this Clinic's schedule
