Why Use Insurance Tracers?
Insurance
Tracers are like chiropractic adjustments or exercising. If used on a
regular consistent basis, they are extremely effective. However, if
only used once in awhile, the results are hit and miss.
It
is strongly recommended to send Insurance Tracers every 30 days (except
for Medicare and Workers Comp.) A second tracer can be sent after an
additional 10 / 15 days.
Insurance
companies do not like to receive paperwork. They also keep a profile
on you (each office). They are very aware of who has good follow up
(collection) procedures and who does not. Guess who gets paid the
quickest? It takes about 4 - 6 months of consistently using Insurance
Tracers to see improved results.
Recommendations:
- Insurance Tracers every 30 days (except Medicare and Workers Comp)
- Follow up Tracer if no response in 10 - 15 days
- Follow
up Tracer immediately on disputed claims - (Quixote is one of the only
software programs that provides an Insurance Tracer with real time
data. There is an itemized accounting of the bill that shows any
Insurance Payments and what the remaining balance is. Most software
will simply reprint the Insurance Tracer with the full amount showing
as the balance. The Insurance Co. sends it back to the office marked
already paid. This is a waste of everyone's time.)

Note: You can create insurance tracers for specific patient's from the patient file, Bills Tab. Tracers Click the Billing Icon Click the Tracers Button
The Tracer window opens:
You may View or Print Tracers by specific Search Criteria.
Bill ID: To View a specific Tracer by bill#, enter the Bill ID #. Created By: Select the User from the Created By drop down list to display Tracers created by a specific user. Date Range: Select the Date Range from the drop down list to display Tracers for a specific Date Range.
Date: Displays Date
Payor: Select the Payor from the drop down list to display Tracers for a specific Payor.
Clinic: Select the clinic from the drop down list to display Tracers for a specific clinic. Patient: Click the Select button and select Patient to view Tracers for from the Rolodex. Balance: Select from the drop down options to filter Charges, WriteOffs, Disputed Amounts, Balances, etc.
Select All: Click Select All to place a check mark next to all displayed Tracers, based on the search criteria. Or select individual tracers by clicking on the checkbox next to the tracer.
View: Place a check mark next to a Tracer(s) you would like to View and Click the View Button.
Print: Place a check mark next to a Tracer(s) you would like to Print and Click the Print Button.
Close: When finished, click the Close Button Tracer Example:
