Note NoteEach User selects which Clinic and Provider for their default view.  See Admin / Users.

Providers

Day Button / Left Arrow:  Clicking the Day button with the Left arrow will move backwards through the calendar, one Day at a time.

Day Button / Right Arrow:  Clicking the Day button with the Right arrow will move forward through the calendar, one Day at a time.

Week Button / Left Arrow: Clicking the Week button with the Left arrow will move backwards through the calendar, one Week at a time.

Week Button / Right Arrow: Clicking the Week button with the Right arrow will move forward through the calendar, one Week at a time.

Today Button: Clickingthe Today button will return the 4 column view to Today's date.

Calendar:  You may select a specific date by clicking on the drop down arrow to display a calendar.  Select specific date from the calendar.

ClinicTo view appointments for a specific Clinic, if applicable, click the drop down arrow in the Clinic field and select the Clinic.

ProviderTo view appointments for a specific Provider, if applicable, click the drop down arrow in the Clinic field and select the Clinic.

Note NoteEach User selects which Clinic and Provider for their default view.  See Admin / Users.

Arrived Column:  Displays patients that have Arrived in the clinic  (in the waiting room)

Checked In Column: Displays patients that have Checked In and which room / area they are in (waiting to be seen)

In Process Column:  Displays patients that are "In Process"  (Provider is recording the appointment)

Recorded Column:  Displays patients that have been seen by the Provider and their appointment has been recorded.

Note Note: Normally the front desk will check the patient in; however, the Provider also has the ability to check in a patient.  Highlight the Patient's name from the Arrived column and click the Check In button.

Check In Button:  To Check a patient in and assign to a room or area, highlight the patient and click the Check In button.  Or double click the patient.

NoteNote: If there is an Alert attached to this patient and this appointment it will display, or the bell will be flashing on the Alerts button

Verify Provider:  Veryify that the appointment is with the correct Provider.  Change if necessary

Select Room: Select the Room or Area

NoteNote: Click the Manage button to edit the Rooms. Rooms is a generic term.  If you have open adjusting describe the areas of treatment in your clinic.  i.e. Table 1, Table 2, or Red Table, Blue Table, etc.

Primary Insurance and Authorization:  Again Primary Insurance is displayed, including the Authorization information.  (Nice to have before the appointment)

Click the OK button.  The patient is now in the "In Process" column

Start Appointment Button:  When the Provider is ready to see the patient, highlight the patient's name and click the "Start Appointment" button

The Edit Appointment  window opens.

NoteNote:  Everything from the previous visit is displayed.  If everything is the same, simply click the Save and Record button to record the same information to today's visit.

Diagnosis: Click the Edit Diagnosis Button to Edit an existing diagnosis or to add a new diagnosis

The Create New Condition Window opens.

  • Click Yes:  If New Condition (Diagnosis).  A new HCFA will be printed
  • Click No:  To add a new diagnosis to the existing condition.  Unbilled charges will appear on the same HCFA.

Effective Date for this Condition:  Enter the effective date for this condition.  (Does not print)

NoteNote:  This is a powerful feature of Quixote.  The Effective Date eliminates the need to track the applicable diagnosis per date of service.  Quixote will keep track of the correct diagnosis per date of service automatically.

OwlExample:

Condition # 1 Start Date 3/1/08

Condition # 2 Start Date 4/1/08

 

All dates of service between 3/1/08 and 3/31/08 will have Condition #1. 

Quixote will automatically use Condition #2 as of 4/1/08. Stars

Illness / Injury Onset Date Box 14: Enter the date of Illness or injury. Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

First seen for this condition:  Enter the date of First Seen for this Condition.  Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

Patient Disabled from Box 16:  Enter dates patient is unable to work in current occupation

  • From:  Enter first FULL day patient was unable to perform job duties. Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

  • To:  Enter the last day patient was disabled before returning to work. Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

Partial Disability / Total Disability:  Check if Partial Disability or Total Disability

Return to Work (RTW): Enter the date the Patient is able to return to work, if applicable.  Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

Hospitalized from Box 18: If the patient was hospitalized due to this condition, enter the date patient was admitted to the hospital and the date the patient was released.  Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.

Outside Lab Charges Box 20Check the box next to "Outside Lab Charges" if billing diagnostic laboratory tests.  Defaults to unchecked.  If this box is checked, enter $ amount of lab charges

Facility name Box 32:  If Outside Lab Charges are checked ?Yes?, select Facility Name from drop down list, where Outside Lab services were performed.

Had same or similar illnessDefaults to No.  If the patient has had same or similar illness, and the illness is documented in the patient medical record, check yes.


Give First Date Box 15If the patient has had same or similar illness, enter the date when the patient had same or similar illness.Clicking the box will automatically display today's date.  To change the date, click on the date or use the drop down calendar.
