Groups - Admin

Teacher Groups Groups Icon


Groups are an easy way for you to set up the privileges you wish certain classes or Groups of employees (Users) to have. This way you can set up privileges once and each time a new employee is added you simply assign them to a group and all of their privileges are already defined.


NoteNote: There will be another Group you may assign users in Quixote; System Administrators, this group will have ALL privileges.


Click Admin

Click Groups

Click the Add Button

Enter the Name for this Group: i.e. Providers, Assoc. Provider, Front Desk, Billing, etc.


Add Groups


Select the User Tab

Highlight the Group you are going to assign Users to

Place a check by the name of each User you are assigning to the highlighted group.


Assign Users


Now click the Privileges Tab


Assign the Privileges to this Group (see below for an explanation of Privileges)


Assign Privileges to Groups


Be sure a click the Save Button.

Privilege Name/Description


Active/Inactivate Clinics

Allows User to Activate or Inactivate Clinics in Quixote.

User Must also have the /Main Admin/ and /See Inactive Clinics/ privileges.


Active/Inactivate Payment Sources

Allows User to Activate or Inactivate Payment Sources in Quixote.

User Must also have the /Main Admin/ and /See Inactive Payment Sources/ privileges.


Active/Inactivate Payors

Allows User to Activate or Inactivate Payors (Insurance Companies) in Quixote.

User Must also have the /Main Admin/ and /See Inactive Payors/ privileges.


Active/Inactivate Providers

Allows User to Activate or Inactivate Providers in Quixote.

User Must also have the /Main Admin/ and /See Inactive Providers/ privileges


Alerts / Configure Alerts

Allows User to Configure/Delete Alerts in Quixote.

Additional information will need to be completed in the Patient file for Alerts to be displayed.

User Must also have the /Main Admin/ Privilege.


Appointments / Delete

Allows User to Delete Appointments in Quixote.


Appointments / Use Q-mmunicate

Allows User to schedule Reminder calls using the (optional)

Q-mmunicate service.


Change other Users Passwords

Allows User to change the password of other users.

User Must also have the /Main Admin/ Privilege.


Clinics - Add

Allows User to Add Clinics into Quixote.

User Must also have the /Main Admin/ Privilege.


Clinics - Edit

Allows User to Edit Clinic information in Quixote, including changing the Clinics hours of operation.

User Must also have the /Main Admin/ Privilege.


Copy CPT Buttons

Allows User to Copy CPT buttons to other users.

User Must also have the /Main Admin/ and /Manage CPT Buttons/ privileges.


Copy ICD Buttons

Allows User to Copy ICD buttons to other users.

User Must also have the /Main Admin/ and /Manage ICD Buttons/ privileges.


Copy SOAP Notes

Allows User to Copy Preconfigured SOAP notes to other users.
User Must also have the /Main Admin/ and /Manage SOAP Notes/ privileges.


Delete Grid Layout

Allows user to Delete any Grid settings for a specific user.

This will return all settings for windows with selectable grids to the Default settings for the selected User.


Edit any ones Notes

Allows User to Edit Any Users Preconfigured Quixote SOAP notes.

User Must also have the /Main Admin/ and /Manage SOAP Notes/ privileges.


Edit Appointment / Show Deleted Appointments

Allows User to View Deleted Appointments in the Patient/s File.


Edit My Notes

Allows User to Edit their Preconfigured Quixote SOAP notes.

User Must also have the /Main Admin/ and /Manage SOAP Notes/ privileges.


Groups / Add/Edit/Delete

Allows User to Add new Groups into Quixote, as well as Edit and Delete Existing Groups.

User Must also have the /Main Admin/ Privilege.

Groups / Grant/Revoke Privileges

Allows User to Grant or Revoke privileges for Entire Groups or individual users.

User Must also have the /Main Admin/ Privilege.


Locks / Delete

Allows User to Delete a Lock that has been placed to protect the Data in certain areas of Quixote.

User Must also have the /Main Admin/ and /Locks - View/ privileges.


Locks / View

Allows User to View all Locks that have been placed to protect the Data in certain areas of Quixote.

User Must also have the /Main Admin/ Privilege.


Main / Admin

Gives User Access to the Admin section of Quixote.

Some sections in Admin require additional Privileges.


Main / Appointments

Gives User Access to the Appointments section of Quixote.

User will be able to View, Schedule, Reschedule and Cancel Appointments. They will also be able to mark Patients as Arrived, check them in and check them out.


Main / Billing

Gives User Access to the Billing section of Quixote.

User will be able to View, Create and Void HCFAs, Patient statement and superbills. As well and track payments and Tracers.
