When creating bills:


Nothing Matched your query



1.    Patient File - Ledger Tab

Make sure you have the following columns showing for trouble shooting purposes. (See example below)

  • Billing Provider
  • Treating Provider
  • Primary Owes
  • Secondary Owes
  • Patient Owes
  • Last Bill ID


Right Click




 

Make sure there is a Billing Provider and Treating Provider selected.

  •  Change this by highlighting the line-item and right clicking select Edit Charge, select the Other tab and select the Provider.

 

Make sure the charged amount is assigned to the correct party (Patient, Primary, Secondary etc.)

  •  Change this manually by highlighting the line-item and right clicking, select Edit Charge and adjudicate the balance.

 

Another common reason for the balance not being assigned to the correct party is the Insurance Effective dates.

  • This is located under the Insurance tab in the patients file. Click EDIT then SAV. The window for the Insurance Effective dates will show. Select the correct dates and click SAVE.

 

If there is a "Last Bill ID" that line-item has already been billed out. (A bill ID means either a Patient Statement, Patient Receipt, Itemized Statement (super bill) or HCFA has been created.)

  •  If you need to re-bill it, void the current bill, fix errors and recreate the bill.

2.    Patients File - Appointments Tab

 

Make sure all of the applicable appointments are completed and in the Checked Out column.


3.    Patients File - Insurance Tab

 

Make sure there is an insurance company active in the file.

 

  • Select the dates of service for this Payor.
  • Insurance Tab / Edit / Save (select effective dates)

4.    Patient File - Case Information

Make sure there are no billing holds for this case.(Case Information tab)

5.    Admin - Payors (Select Payor)

 

Is this Payor set up to Print HCFA's  or Bill Electronically?


Edit Payor

6.

Make sure the bills have not already been processed.

Under the bills tab, click:

  • Clear Filter
  • Fetch

to confirm whether the bills have already been processed.
